AI automation

AI for the repetitive admin. You for the decisions.

Use AI to draft replies, sort enquiries and pull details out of messages, while you stay in control of anything your customers see.

The problem

Small businesses answer the same questions every day and copy the same details from emails, forms and messages into spreadsheets and calendars. It is slow, and things get missed when it is busy.

AI is now good at reading a message, picking out what matters and drafting a sensible reply. Used carefully, with clear limits and a person approving what goes out, it can take a real share of that admin off your plate.

What a project can include

  • Drafted replies to common enquiries, ready for you to approve, edit or discard
  • Sorting and summarising incoming enquiries so urgent ones surface first
  • Pulling details such as dates, quantities and addresses out of emails, forms and documents
  • A website or WhatsApp assistant for common questions, with handover to a person
  • Written limits on what the AI may and may not do, agreed before anything goes live

How an AI-assisted enquiry flows

  1. Automated

    Enquiry arrives

From your website form, email or another channel you already use.

  2. Automated

    AI reads and summarises

Key details are picked out and anything urgent or unusual is flagged.

  3. Automated

    Reply drafted

A suggested reply is prepared in your tone, using information you have approved.

  4. You decide

    You approve or edit

Nothing reaches the customer until you are happy with it, unless you choose otherwise for simple cases.

  5. Automated

    Sent and logged

The reply goes out and the enquiry is recorded in one place.

Common questions

Will the AI reply to my customers on its own?

Only if you decide it should, and only for the cases you choose. By default every AI-drafted reply waits for your approval.

What happens to my customers’ data?

Only the information a task needs is sent to the AI service, under that provider’s business terms. Your proposal names the provider, and anything sensitive is left out unless we agree otherwise.

Does AI add ongoing costs?

Usually a small usage-based cost from the AI provider. Your proposal estimates it and lists it separately from the project cost.

Do I need technical knowledge?

No. You approve drafts in a tool you already use, such as email or a simple dashboard, and you get a short guide at handover.
